Democracy Services Coordinator - Ref 044 (Fixed Term - 2 Years)

We are looking for an enthusiastic individual who has what it takes to succeed in a dynamic and challenging role.  The Democracy Services Coordinator role works within the Democracy Services team to provide administration support to a range of activities which ensure the delivery of a professional service to the Mayor, Councillors and Community Board members of the Kāpiti Coast District Council. As a member of the Democracy Services team, you will assist in the preparation of reports and will be responsible for research of information required in the delivery of effective governance processes. You will support the peer review process, collation and delivery of meeting agendas to Elected Members and assist in the timely uploading of agendas, reports and minutes to the Council website. You will provide support for the advertising of meetings in accordance with the Local Government Official Information and Meetings Act 1987, Local Government Act 2002, and Standing Orders. You will assist in the compilation and distribution of the Elected Members’ Bulletin and in the arrangement of meetings of the District Licensing Committee.

 

To be successful in this role you will have: 

  • Good interpersonal skills with a commitment to customer service and ability to work with a wide range of people within and outside the organisation.
  • High level of PC operational ability, word processing skills and familiarity with Microsoft Office suite and common software packages.
  • Ability to learn and accept new technologies, and to share that knowledge with others.
  • Excellent written and oral communication skills, together with an eye for detail.
  • Ability to work effectively under pressure.
  • Well-organised approach to records management (agendas and minutes) both electronic and paper.
  • Ability to build and maintain effective, successful, and professional working relationships.
  • Interest in the Kāpiti Coast District Council and responsibilities and duties of individual officers and cross-council teams.
  • Ability to be flexible with working hours if required.
  • High level of discretion and diplomacy with ability to maintain strict confidence on any Council matter of a sensitive nature.
  • Positive, confident approach in assisting people
  • A current and valid New Zealand Drivers Licence.
