As the Executive Assistant to the Chief Executive, you will provide high level, professional executive and administrative support, enabling the Chief Executive to operate effectively and efficiently. You’ll work closely with the Mayor’s office and senior leaders, managing competing priorities with discretion, diplomacy and sound judgement.

This role sits within the Office of the Chief Executive and requires exceptional organisational skills, political awareness and the ability to build trusted relationships across the organisation and with external stakeholders.

Key responsibilities

You will be responsible for:
  • Providing comprehensive, proactive executive support to the Chief Executive
  • Managing the Chief Executive’s diary and scheduling to maximise time and effectiveness
  • Preparing meeting agendas, coordinating papers, taking accurate minutes and maintaining effective filing systems
  • Coordinating civic engagements, functions and official events
  • Managing correspondence on behalf of the Chief Executive, including drafting routine responses and coordinating complex replies
  • Acting as a key point of contact for internal and external stakeholders, including elected members, senior leaders, media and the public
  • Arranging business travel and overseeing day to day office administration requirements
  • Maintaining high levels of confidentiality and professionalism at all times
  • Supporting projects, initiatives and continuous improvement activities as required

To be successful in this role, you’ll bring:
  • Significant experience providing high level executive or senior secretarial support, ideally within the public sector or a politically sensitive environment
  • Sound political awareness, judgement and the ability to anticipate issues before they arise
  • Exceptional time management skills and the ability to work calmly under pressure
  • Excellent written and verbal communication skills and a professional telephone manner
  • Advanced Microsoft Office skills and fast, accurate word processing ability
  • Strong interpersonal skills and a collaborative, service oriented approach
  • A high level of discretion, integrity and commitment to confidentiality
  • Flexibility with working hours, including occasional work outside standard hours
  • A current, full New Zealand driver licence
  • An understanding of local government processes and the Treaty of Waitangi, and how these apply within a council environment, will be highly regarded.
